Administrative Officer

Oxford Botanic Garden and Arboretum (OBGA) are looking to recruit a highly motivated individual to assist with their administrative duties. This is a responsible position, which offers the opportunity of involvement at the centre of one of the University’s oldest collections. You will support the Head of Operations in providing administrative support to the department.

You will be responsible for providing effective administrative support to the Director of OBGA and other senior managers within the department. Duties will include dealing with a wide range of matters, sometimes highly confidential and/or urgent, handling correspondence, managing the Director’s electronic diary, financial operations, and making arrangements for meetings, visits and travel. You will oversee the day-to-day administration of the office undertaking general office administration such as typing of documents, filing, liaison with suppliers, ordering stationery and maintaining staff records.

You will be the first point of contact for all internal and external enquiries and this requires an experienced individual able to handle information of a sensitive and sometimes confidential nature. It is essential that you exercise good judgement and has excellent written and oral communication skills. This is envisaged to be a demanding but challenging and exciting role.

This is a permanent, full-time position, working 36.5 hours per week.

About You
You will be a flexible, friendly and conscientious individual with a great eye for detail, with an interest in the general administration of a university department and a willingness to support a varied team of staff in a busy department. You will enjoy a wide variety of tasks, from sorting out stock one day or fixing photocopier problems and liaising with HR, finance or the commercial ticket system team on another day. You’ll be confident responding to email enquiries from members of the public and supporting potential clients to book the Garden for a wedding. An all-rounder with great communication skills.
